Six years ago, "online payroll" often only meant a web-based login instead of a locally installed program. Today it refers to platforms that bundle payroll processing, integration with accounting and banking, employee self-service and compliance updates in one system — as a service, not a tool.

We have been building one such platform for the Swiss market for several years now. Here is a sober overview of where things really stand in 2026.

Where we stand in 2026

Three developments have decisively taken hold:

  • Browser instead of installation. Nobody installs payroll software locally any more. Updates, backups and disaster recovery happen on the platform side.
  • Platforms instead of isolated tools. Instead of "a payroll programme" you now have platforms with a built-in employee app, onboarding tool, migration module and integration layer.
  • Swiss hosting is the default. Microsoft Azure region Switzerland, databases hosted nationwide, ISO 27001 certified data centres — the compliance discussion is largely resolved.

What online payroll can do today

A modern platform delivers four building blocks as standard:

1
Payroll processing

Swissdec-compliant pay runs across all 26 cantons, with cantonal withholding-tax rates, BVG thresholds and OASI special rates. Event-driven: every change triggers the right calculations, with no monthly-run wait.

2
Onboarding tool

Migration from a third-party system (Abacus, SAP, SwissSalary, Excel) in 24 hours, with 12-month back-testing and optional parallel run. Mid-year too — not only at year-end.

3
Employee app

Native app for onboarding, time entry, wage-statement download and self-service changes. Typically cuts HR inbox volume by 60–80%.

4
Integration platform

API-first, webhooks, ISO 20022 as standard. Connects to accounting, HR systems, time tracking and banking with no CSV hopping.

Practical test

Ask every platform vendor: "How long does migration from our current system take?" If the answer is more than 4 weeks, the migration tool is missing. Under 1 week and the platform is well built.

Swiss compliance in the cloud

The most common concern with online payroll: "What if our payroll data doesn't stay in Switzerland?" In 2026 this is a solved problem — provided the vendor is reputable. These four points should be in place:

  • Data residency in Switzerland. Swiss data-centre region (typically Zurich/Geneva), not just "EU".
  • ISO 27001 or equivalent. Information-security standard, auditable.
  • Swissdec ELM 5.1 via partner. Guarantees correct reporting channels to OASI/DI/EO, BVG, accident insurance (UVG), sick-pay insurance (KTG), family allowances (FamZ) and all 26 cantonal tax authorities.
  • Clear data ownership in the contract. Your payroll data belongs to you — on switching vendors you must be able to export it in full.

Tool integrations without breaks

What has emerged as the industry standard in 2026: the platform integrates into your existing tool landscape, not the other way around. Instead of "we need your data exported as CSV", today it is "we connect to your system". In practice:

  • Accounting: journal entries directly into the general ledger, per client, per cost centre.
  • Banking: ISO 20022 payment files, straight to all major Swiss banks.
  • HR/recruiting: master-data sync with ATS and HR suites.
  • Time tracking: hours, shifts and absences as pay-element input.
  • Insurance: claim handling with the UVG insurer directly inside the system.

What to look for when choosing

Seven questions you should ask every vendor:

  • Is the platform Swissdec ELM 5.1 certified?
  • Is data hosted in a Swiss data centre?
  • Is there a migration tool with 12-month back-testing?
  • Is the employee app in the standard package or an upgrade?
  • Are all 26 cantonal withholding-tax rates included with automatic updates?
  • Are there volume thresholds (e.g. price benefits only kick in above 30 employees)?
  • What does data ownership look like — what happens at contract end?
